Policies and agreements
Summaries of the terms that govern the use of Helix Health. Full executable documents are provided during procurement.
These summaries describe our standard position and are provided for information. They are not a substitute for the executed agreement between Helix Health Technology and your organisation, which takes precedence in every case.
Privacy policy
Helix Health Technology processes two broadly different categories of information, and treats them differently.
Information you give us about your organisation
When you request a demo, contact sales, or subscribe, we collect business contact details such as name, job title, facility, work email, and phone number. We use this to respond to your enquiry, provide the service, and meet our contractual and legal obligations. We do not sell this information.
Clinical information processed on your behalf
When your facility uses the platform, clinical messages and related records may contain protected health information (PHI). For this information, your organisation is the controller and Helix Health Technology acts as a processor under your instructions and under the terms of the applicable agreement. We do not use PHI for marketing, analytics unrelated to providing the service, or training external systems.
Retention
Retention periods for clinical records are agreed with your facility and configured to match your records policy. Business contact data is retained while we have a relationship with you and for as long as legal or accounting obligations require afterwards.
Your rights
Individuals may request access to, correction of, or deletion of their personal data, subject to applicable law and to any clinical record-keeping obligations your facility carries. Requests relating to clinical records should be directed to your facility in the first instance. For everything else, contact support@helixhealth.app.
Security
We apply technical and organisational measures appropriate to the sensitivity of the data we handle. See the security overview for detail on encryption, access control, and audit.
Terms of service
These terms govern access to the Helix Health website and platform.
Acceptable use
Accounts are issued to named individuals and must not be shared. You agree not to attempt to circumvent access controls, interfere with the service, or use the platform to store information it was not designed for. Your facility remains responsible for the conduct of its users.
Clinical responsibility
Helix Health provides communication tools and reference information to support qualified clinicians. It does not diagnose, prescribe, or exercise clinical judgement, and it does not replace your facility's approved policies. Responsibility for every clinical decision remains with the treating clinician.
Availability
We work to keep the service available continuously, and specific service levels are set out in your subscription agreement. Planned maintenance is notified in advance wherever practical.
Intellectual property
Helix Health Technology retains all rights in the platform, its software, and its documentation. Content your facility uploads — protocols, formulary entries, rosters, and clinical messages — remains yours.
Changes
We may update these terms as the service develops. Material changes affecting subscribers are notified through the account contacts on file.
Business associate agreement (BAA)
Where Helix Health Technology handles protected health information on behalf of a covered entity, we enter into a business associate agreement (BAA). This is a written contract that sets out how we may use and disclose PHI, and what safeguards we must maintain.
Our standard BAA covers:
- Permitted uses and disclosures of PHI, and the prohibition on anything outside them
- The administrative, physical, and technical safeguards we maintain
- Obligations on our subcontractors, who must offer equivalent protection
- Breach notification: what we will tell you, and how quickly
- Your right to access, amend, and account for disclosures of PHI
- Return or destruction of PHI when the agreement ends
To request a copy for legal review, contact support@helixhealth.app.
Subscription agreement
The subscription agreement is the commercial contract between your organisation and Helix Health Technology. It records what you are buying and on what terms.
- Scope — the modules enabled, the sites covered, and the number of licensed users
- Term and renewal — the initial period, renewal mechanics, and notice required to change or end the subscription
- Fees — subscription charges, implementation and training fees, invoicing schedule, and payment terms
- Service levels — availability commitments, support hours, and response targets
- Data — ownership, export formats, retention, and deletion on termination
- Liability — the allocation of risk between the parties, including any agreed caps
We provide a draft early in the procurement process so your legal and finance teams can review it in parallel with the technical evaluation rather than at the end.
